Privacy Policy

TrainerPay is operated by T.H.E. DOJO LLC. We take your privacy seriously and keep this policy as short and direct as possible.

What we collect

• Account info: name, email, phone number, and profile details you provide during signup.
• Booking info: client names, emails, phone numbers, and session details when bookings are made.
• Calendar data: if you connect Google Calendar, we read your busy/free times and create events for new bookings. We do not read event titles, descriptions, or attendees of your existing events beyond busy/free status.
• Payment info: processed by Square and Venmo. We never store full card numbers on our servers.
• Usage data: basic analytics to keep the service running — page views, error logs, and similar.

Why we collect it

To run the booking platform. Specifically: to let clients book sessions, to charge payments, to sync your calendar, and to notify you when things happen on your account. That's it.

Third-party integrations

• Google Calendar: used with your explicit consent to sync session bookings. You can disconnect anytime from Settings or revoke access at myaccount.google.com/permissions.
• Square: used to process credit card payments. Square receives the cardholder data directly — we never see the card number. Square's privacy policy applies to that data.
• Venmo: payment links only. We don't process Venmo payments ourselves; clients pay trainers directly.
• Supabase: our hosting and database provider. Your data is stored in their infrastructure.

We don't sell your data

We do not sell, rent, or share your personal data with third parties for marketing. Ever. The only parties who receive your data are the integrations listed above, and only the minimum needed to make the platform work.

Data retention

We keep your account data for as long as your account is active. If you delete your account, we delete your personal data within 30 days, except where we're legally required to retain it (for example, financial records for tax purposes).

Your rights

You can request a copy of your data, correct it, or delete your account at any time by emailing us. If you're in a jurisdiction with specific privacy laws (GDPR, CCPA, etc.), those rights apply to you.

Security

We use industry-standard encryption (HTTPS, encrypted database storage) and limit access to your data on a need-to-know basis. No system is perfectly secure, but we take reasonable steps to protect what you trust us with.
